Made for hosts with 1 to 10 rentals, whether you take bookings on Airbnb, Vrbo, your own site or all three. Co-hosting for an owner? It writes the owner statement too, and your Dashboard counts only your fee.

What it does for you

  • Profit per booked night, for any month and for each property's year: the number to compare places and months by.
  • Type the payout your platform shows and the fee works itself out. Leave it blank and the fee comes from each platform's rate on Setup. Each payout counts on its payout date, from each platform's payout days on Setup.
  • A stay that crosses a month end splits by night, so occupancy, average rate and rent are right for every month.
  • Occupancy for each property, month by month: booked nights, open nights (owner stays and repair days come off), occupancy, average nightly rate and rent per open night.
  • Turnovers: every check-out becomes a cleaning, with the next check-in, the time to clean, same-day flags and what you owe for each cleaning. Left unpaid too long, it reads Pay now.
  • Automations: see where the last 12 months' stays booked (Airbnb, Vrbo, direct) and each platform's share, record how each booking reaches you and which messages go out by themselves, set each property's check-in and check-out times (it works out the cleaning window on a same-day turn and counts the same-day turns in the next 30 days), and list every step from booking to clean: Automated, Partly, By hand or Planned, with your minutes a stay and your hours a year.
  • Lodging tax kept apart: tax the platform paid for you is kept for your records, and tax you collect yourself comes off before profit, with the Dashboard telling you how much to set aside.
  • Expenses by property, each tagged with the Schedule E line it usually lands on, as a guide for your tax preparer. A cost every place shares splits evenly.
  • Owner Statement for co-hosts: pick a property and a month for what came in, what it cost, your management fee (a share of the payout or of the rent) and the owner payout, with the stays listed below. Each stay counts in the month it pays out, the way the owner's bank sees it.
  • Heads up on the Dashboard: check-ins coming, cleaners to pay, lodging tax to set aside, and a month that falls short of your profit goal.

What is inside (11 tabs)

Start Here, Dashboard, Properties, Bookings, Turnovers, Automations, Expenses, Occupancy, Owner Statement, Setup, AI Prompts.

Room for 10 properties, 2,000 stays and 3,000 expenses. Keep every year in one file and pick the month or year to look at.

Bonus: Nightly Rate Planner

A second workbook. Type one property's fixed costs, cleaning numbers and the occupancy you expect each month, and it works out the lowest weeknight rate that reaches your profit goal, with weekend and holiday rates on top, month by month. It counts each month's real Fridays and Saturdays, and tests the rate you charge now.

55 copy-paste AI prompts, two ways

Ask an AI inside your spreadsheet (Copilot in Excel, Claude for Excel, Gemini in Google Sheets): it reads the open file, so 25 prompts have it explain the file, find overlapping stays, check your typing, show what each platform really cost you, reconcile payouts with the bank, list your cleaner schedule and what you owe, find gap nights to fill, sort your expenses for your tax preparer, total lodging tax by quarter, draft the owner email, fill in the Automations tab with you, pick what to automate first, check your cleaning windows, write your cleaner's standing instructions, and improve the file for you: a weekday vs weekend view, a Booked on column, highlights on long empty stretches, a Year in Review sheet.

Or any AI chat (ChatGPT, Claude or Gemini): 9 prompts already carry this month's numbers from your sheet, so they work in any AI, and 21 read the attached file: turn a payout report into rows, check the books for mistakes, a packet for your tax preparer, next year's budget per property, mid-term rentals or not, a year-end owner report, a house manual, a welcome message, a cleaner's checklist, your scheduled guest messages, your booking-to-clean flow, a plan for when the cleaner cancels, keeping your calendars from double booking, a compliance checklist, a fresher listing description, the five questions a lender would ask, and more.

The AI tools are not included: each comes with its own plan, and Copilot in Excel needs Microsoft 365.

Good to know

  • Sample data (three made-up rentals, a year of stays and the next months booked) shows how it works, and its dates move with the day you open it. Type over it, or clear it and start fresh.
  • Nothing connects to your platform accounts: you type or paste your stays, and an AI prompt can turn a payout report into rows.
  • The formulas are locked so they cannot break. The yellow cells are the ones you type in. Google Sheets does not lock them, so in Sheets type only in the yellow cells.
  • The categories follow Schedule E as a guide. This file does arithmetic; it is not tax or legal advice. Lodging tax rules vary by city and state.
  • For your own business. Please do not resell or share the files.
